1. Daily Workflow

Open My Pipeline tab and check posts in Draft — these need captions written.

Check In Review — if overdue (red date), flag to Ava or Kevin for follow-up.

Use Create Post tab to draft new content. Fill in Client, Type, Pillar, Visual Notes first for best AI results.

When a draft is ready, change status to In Review using the Update Status button in the post detail panel.

Check 📅 Daily tab to track your personal tasks for the day.
2. Writing Captions
  • Instagram: 125–150 words ideal. Hook in first line (visible before "more"). End with a soft CTA.
  • Facebook: Can be longer — 150–250 words. Tell a story. Include a link in the caption if relevant.
  • LinkedIn: Professional tone. Lead with insight or data. 100–200 words. No excessive hashtags.
  • TikTok / Reels: Short, punchy on-screen text that works without sound. Caption = brief CTA only.

AI tip: Generate first, then edit. Always read it out loud before submitting — it should sound human.

3. Client Voice Guidelines
  • NICS: Mission-driven, warm, global perspective. Avoid corporate language. Focus on educators and students.
  • United Way GBACC: Community-first, inclusive, action-oriented. Emphasize local impact and 80th anniversary in 2026.
  • BCOC: Faith-based, welcoming, community-centered. Dignity and belonging in every post.
  • YBX / Yellowbox: Creative, confident, behind-the-scenes authentic. Show the process and the people.
4. Hashtag Strategy
  • Instagram: 5–10 hashtags max. Mix broad (#nonprofit) + niche (#NICSschools). Move hashtags to first comment for cleaner look.
  • Facebook: 2–3 hashtags max or none — algorithm doesn't weight them here.
  • LinkedIn: 3–5 hashtags at the end, relevant to industry and topic.

Client approves → status: Scheduled
